1. Introduction
WireTime ("WireTime," "we," "us," or "our") provides a desktop productivity application that includes presence management, work/task management, an AI agent, and notes ("the Service"). This Privacy Policy explains what information we collect, how we use it, and the choices you and your organization have.
By downloading, installing, or using WireTime, you agree to the collection and use of information as described in this policy.
2. Who This Policy Applies To
WireTime is typically deployed by an organization ("Customer" or "Employer") for use by its team members ("End Users" or "Employees"). If your employer or organization has deployed WireTime for you, your employer is the data controller for your workplace data, and this policy explains how WireTime, as the data processor/service provider, handles that data on their behalf. Please also refer to your employer's internal policies regarding workplace monitoring.
3. Information We Collect
a. Account & Organization Information
- Name, work email address, job title, and team/department
- Organization details (company name, size, billing contact)
b. Presence & Activity Data
- Application/desktop active or idle status
- Login/logout and check-in/check-out timestamps
- General activity levels used to generate presence summaries (WireTime is designed to avoid capturing keystrokes, screen content, or personal messages)
c. Work & Task Data
- Tasks, projects, deadlines, assignments, and status updates you create or interact with
- Notes and content you author within the app
- Comments, attachments, and file metadata linked to tasks
d. AI Agent Interactions
- Prompts, queries, and requests you send to the AI Agent
- Summaries, suggestions, and outputs generated on your behalf
e. Device & Technical Information
- Device type, operating system, app version
- IP address, general location (city/country level), and diagnostic/crash logs
f. Billing Information
- Payment details are processed by our third-party payment processor; we do not store full card numbers
4. How We Use Information
We use collected information to:
- Provide, operate, and maintain the Service
- Generate presence dashboards, task boards, and productivity summaries for authorized managers/admins within your organization
- Power AI Agent features such as daily summaries, smart task suggestions, and natural-language queries
- Improve reliability, performance, and new features
- Provide customer support and respond to inquiries
- Send service updates, security alerts, and (with consent) product news
- Detect, prevent, and address fraud, abuse, or security issues
- Comply with legal obligations
5. AI Processing
Some content (e.g., task descriptions, notes, or AI Agent prompts) may be processed by AI models — either hosted by us or by trusted third-party AI providers — to generate summaries, suggestions, and insights. We do not use your organization's content to train AI models made available to other customers without explicit permission.
6. Legal Basis & Workplace Monitoring Transparency
Where WireTime is used for employee presence/activity tracking, we require Customers (employers) to:
- Inform employees that WireTime is in use and what it tracks, in line with local labor and privacy laws
- Obtain any required consent or provide any required notice before enabling monitoring features
- Use presence data for legitimate workforce-management purposes, not for unlawful discriminatory or retaliatory action
WireTime is designed to track activity signals and outcomes, not private communications, personal browsing, or content outside the scope of work tasks.
8. Data Retention
We retain data for as long as your organization's account is active, plus a limited period afterward for backups, legal, tax, or dispute-resolution purposes. Organizations can request deletion of their data upon account closure, subject to legal retention requirements.
9. Data Security
We use industry-standard safeguards, including encryption in transit and at rest, access controls, and regular security reviews. No system is 100% secure, and we encourage you to use strong passwords and enable any available multi-factor authentication.
10. Your Rights
Depending on your location, you may have the right to:
- Access, correct, or delete your personal data
- Object to or restrict certain processing
- Request a copy of your data in a portable format
- Withdraw consent where processing is based on consent
Requests should generally go through your organization's admin, or you may contact us directly at [Contact Email].
11. International Data Transfers
Your information may be processed in countries other than your own. Where required, we use appropriate safeguards (such as standard contractual clauses) for cross-border transfers.
12. Children's Privacy
WireTime is a workplace productivity tool and is not directed at, or intended for use by, individuals under 18.
13. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify Customers of material changes via email or in-app notice, and update the "Effective Date" above.
